Privacy Policy

Norma Intake (“we,” “us,” or “our”) operates the Norma Intake service (the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
Account information. When you create an account, we collect your email address and any profile information you provide during registration.
Uploaded documents. Agents submit purchase agreements and other real estate documents through your intake link. These documents are temporarily processed by our AI parsing service to extract transaction data, then stored in connection with the intake record.
Intake form data. The structured data entered or confirmed during an intake submission — including property address, sale price, dates, party names, and deal terms — is stored and associated with your account.
Usage data. We collect anonymized analytics on how the Service is used (pages visited, interactions) through Vercel Analytics. This data does not identify individual users.
Billing information. If you subscribe to a paid plan, payment details are handled directly by our payment processor. We do not store full credit card numbers on our servers.
2. How We Use Your Information
- To provide and operate the Service — processing intake submissions, generating cover sheet PDFs, and delivering them to your inbox.
- To forward structured intake data to webhook destinations, Zapier, Make, or other tools you configure.
- To send transactional emails — cover sheet delivery to you, and submission confirmation emails to agents.
- To manage your account, subscription, and billing.
- To improve and develop the Service using aggregated, anonymized usage data.
- To respond to support requests and communicate with you about your account.
3. How We Share Your Information
We do not sell your personal information. We share information only as described below:
- AI processing. Uploaded documents are sent to an AI service to extract transaction data. These providers process data on our behalf under data processing agreements.
- Email delivery. We use a third-party email service to deliver cover sheets and confirmation emails.
- Hosting and infrastructure. The Service is hosted on Vercel. Our database is provided by Neon. These providers may process data in connection with operating the Service.
- Webhook destinations you configure. When you connect Zapier, Make, or a custom webhook, intake data is forwarded to those destinations at your direction. You control what destinations receive your data.
- Legal requirements. We may disclose information if required to do so by law or in response to valid legal process.
4. Data Retention
We retain your account information and intake records for as long as your account is active. Uploaded documents are retained as part of the intake record. You may request deletion of your account and associated data by contacting us at the address below.
5. Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS) and access controls. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
6. Your Rights
Depending on your location, you may have rights regarding your personal information, including the right to access, correct, or delete it. To exercise these rights, contact us at the address below and we will respond within a reasonable timeframe.
7. Children
The Service is intended for business use by real estate professionals. We do not knowingly collect personal information from anyone under 18.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy with a new effective date. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
